# An answering service that books the job — not just the message.
A missed call is not a missed message. It is a job that went to whoever picked up second. FieldCamp answers with a configured voice agent. With FieldCamp connected the call can create a request; with AI Dispatcher connected it can book the visit at the window AI Dispatcher suggests. Coverage hours, [emergency](/answering-service/emergency/) rules, and human handoff are all defined during setup.

The basics

## What is an answering service?
Traditionally: someone else picks up when you can’t, writes down a name and a number, and sends it over. You still have to call back, still have to ask every question again, and still have to find a slot. The service ends where the work begins.

A configured AI answering service changes what comes out the other end. Instead of a message, you get a structured record — the problem, the address, the access notes, the urgency — and, where booking paths are configured, a job already on the schedule. What it can and can’t do is not left to chance: coverage hours, which channels it watches, what counts as an emergency, and who it hands off to are all defined when you set it up.

The distinction matters because a missed call in field service is rarely a missed message. The customer with a flooded basement at 10 PM does not leave a voicemail and wait. They dial the next result.

### Who it’s for

1

On the tools all day

You are on a roof, under a sink, or driving. The phone rings anyway, and there is nobody else to catch it.

2

One person on the phones

One person covers the phones. Lunch, holidays, and the 8 AM rush are all single points of failure.

3

Shops paying a call centre

You already pay per minute for messages you re-key by hand every morning. The bill scales; the output doesn’t.

### CSR overflow — the calls a staffed office still drops

Overflow answering is backup coverage for the times your own team cannot pick up: every line engaged, a Monday surge, a weather spike, the lunch hour. Your office rings first. Set your phone system to forward busy or unanswered calls to the agent’s number after the ring time you choose (FieldCamp Calls forwarding or your carrier). Calls are handled in parallel rather than queued — from five at once up to a hundred, depending on the plan.

### The replacement for voicemail, not a better version of it

Voicemail asks a customer with a problem to describe it to a machine and wait. Most of them hang up and call the next number instead. An answering service that books means the call ends with a time on the calendar rather than a message someone has to return.

02

The objection

## Won’t customers hate talking to AI?
It is the first thing every owner asks, and it is the right question.

What customers hate is a phone tree — press 1, press 2, repeat your account number, get dropped. That is not a conversation, it is a maze. A natural-language agent is a different thing: the caller describes the problem in their own words and gets asked the follow-up a good CSR would ask.

It is also not all-or-nothing. Routine calls — book me in, when is the tech coming, my drain is slow again — are handled end to end. Anything outside that, or anything the caller explicitly asks to escalate, goes to a human on *your* team by transfer, and the recording and transcript are saved when the call ends.

Call transcript · Dana W. · 2:14 PM Escalated DW“Hi — I need someone out for the water heater, but I also want to talk about the invoice from last month. I think we were double-charged.”

“I can get the water heater booked for you now — and for the billing question I’ll bring in someone from the team. One moment.”

   <svg fill="none" height="14" stroke="currentColor" stroke-linecap="round" stroke-linejoin="round" stroke-width="2" viewbox="0 0 24 24" width="14"><path d="M12 8V4H8"></path><rect height="12" rx="2" width="16" x="4" y="8"></rect><path d="M2 14h2M20 14h2M15 13v2M9 13v2"></path></svg> <svg fill="none" height="15" stroke="currentColor" stroke-linecap="round" stroke-linejoin="round" stroke-width="2" viewbox="0 0 24 24" width="15"><path d="M16 21v-2a4 4 0 0 0-4-4H6a4 4 0 0 0-4 4v2"></path><circle cx="9" cy="7" r="4"></circle><path d="m17 11 2 2 4-4"></path></svg> Transferred to Casey · CSR

     03

The mechanism

## From ring to booked job — six steps.
Step four is where an answering service stops being an answering service. All six steps run on the same [FieldCamp Voice platform underneath answering](/voice/).

Step 01

Answer

Configured voice intake picks up — [after hours](/answering-service/after-hours/), during the 8 AM rush, and while every line is already busy.

Configured voice intake

Step 02

Understand

The caller describes the problem their way. The agent asks the follow-ups you defined and fills the fields you actually dispatch on.

Structured capture

Step 03

Triage

Routine or emergency, judged against your rules — not a call-centre operator’s guess at what “urgent” means in your trade.

Your rules, your definitions

Step 04

Act

With FieldCamp connected, the call becomes a request; with AI Dispatcher connected, a booked job — not a note for someone to re-key at 8 AM.

Booked, not relayed

Step 05

Escalate

Anything out of scope goes to your own CSR or on-call tech by transfer. The recording and transcript are saved after the call.

To your own team

Step 06

Confirm

Every call is recorded and transcribed in Voice. With FieldCamp connected, the result lands on the customer’s Inbox thread with the recording and a transcript link.

04

The landscape

## Four ways a service call gets answered.
All four are legitimate. They differ in what you are left holding afterwards.

| Approach | How it works | Suits | The limitation |
|---|---|---|---|
| Voicemail | The caller leaves a message. You listen to it later. | Very low call volume; no after-hours demand. | Most emergency callers hang up and dial the next number instead of recording a message. |
| Human call centre | A shared operator answers under your name and emails or texts a message across. | Shops that want a human voice on every call and accept per-minute pricing. | The output is a message. Someone on your side still books the job, and the operator rarely knows your trade. |
| AI answering add-on | A standalone AI answers and pushes a summary into your field service software via an integration. | Teams already committed to a scheduling system they intend to keep. | Two vendors, two bills, and an integration seam where availability and job data drift apart. |
| ★ Native AI answeringFieldCamp | Phone, voice AI and dispatch come from one vendor and connect in a few clicks. | Shops that want the call to end in a booked job, not a task to process. | You run your scheduling in FieldCamp, or connect AI Dispatcher to the system you already run. |

### The products a field service shop actually shortlists.
Four products come up on nearly every call. Each answers the same question differently — whether the booking has to cross an integration to reach the dispatch board.

Native

#### FieldCamp AI Receptionist

Phone, voice AI and dispatch come from one vendor and connect in a few clicks. With AI Dispatcher connected, the call ends as a booked visit.

[See how it answers →](https://fieldcamp.ai/ai-receptionist/)

Contact centre

#### Avoca AI

Built for the contact-centre end of the market, with the booking pushed into whichever field-service system you already run.

Front-of-stack

#### ProBook AI

A dedicated answering product for the trades that sits in front of your existing software rather than inside it.

Add-on

#### Jobber AI Receptionist

An add-on to Jobber — neat if Jobber is already your system of record, not an option if it is not.

05

Capabilities

## What it actually does.
Everything below is configured during setup — nothing here is guesswork on the agent’s part.

- **Coverage you define**After hours, overflow or every call, decided by how your phone system routes calls to the agent.- **Natural conversation**No menu trees. The caller talks; the agent asks the follow-ups a trained CSR would ask.- **Job booking, not note-taking**With FieldCamp connected the call creates a request; with AI Dispatcher connected it books the visit at the window AI Dispatcher suggests.- **Intake shaped to your trade**Access notes (side gate, dog in yard), unit location, panel type — the fields your techs actually need before they roll.- **Emergency triage**Your definition of urgent, applied consistently at 2 AM — and routed to whoever is on call.- **Escalation to your team**Calls transfer to your CSR. On a warm transfer (Twilio) they hear a short private message you write first, and the recording and transcript are saved after the call.- **More than voice**FieldCamp’s AI CSR answers texts and chat, and both land in the same Inbox as your calls once FieldCamp is connected.- **Ownership stays with you**Recordings, transcripts and customer records live in your account — not in a call centre’s system.
06

The difference

## Books the job. Keeps your brand.
▤

Structured intake, every time

Supported service details are captured in the same shape on every call, so dispatch is not reading someone’s free-text paragraph and guessing.

▦

Jobs booked, not messages taken

The measurable difference between the two is a morning spent calling people back — and the jobs you lose while doing it.

◈

Your brand, your people

Escalations reach your CSRs and your on-call techs. No third party learning your business on your customers’ time.

Phone, voice AI and dispatch come from one vendor and connect in a few clicks. With AI Dispatcher connected, a booked call is on the board the moment it ends.

07

Head to head

## FieldCamp vs a human answering service.
If you are quoting a call centre this week, take the right-hand column into the call with you. Shortlisting by trade? See the best answering services for [HVAC](/answering-service/best-for-hvac/), [plumbers](/answering-service/best-for-plumbers/) and [electricians](/answering-service/best-for-electricians/). Running a different trade? See how it answers [roofing](/roofing-software/answering-service/), [pest control](/pest-control-software/answering-service/) and [landscaping and lawn care](/landscaping-software/answering-service/) calls. Customers who call in Spanish? See how a [bilingual answering service](/answering-service/bilingual/) gives each language its own line.

| Criterion | FieldCamp AI answering | What to verify with a call centre |
|---|---|---|
| Coverage | Configured hours; concurrent calls are not queued behind each other. | Ask what happens when three of your calls land in the same minute at 7 PM. |
| Output | A request or a booked job in your schedule. | Is it a message, or does it write to your calendar? Who does the booking? |
| Handoff | Escalates to your own CSR or on-call tech. | Who is the caller actually reaching — your team, or a shared operator pool? |
| Context | Customer history and prior jobs are already on screen. | Can the operator see that this is the third callback on the same unit? |
| Record ownership | Recordings and transcripts stay in your account. | If you leave, what leaves with you — and in what format? |
| Cost shape | Part of the platform you already run the work on. | Per-minute or per-message? What counts as a billable minute — including wrong numbers? |

08

Fit

## Any size of shop.
An owner on the tools and a multi-location operation need the same call answered differently. The intake fields and the routing are yours to define, so the same agent fits both.

Intake configuration · Service call draft Problem type Required · picklist Unit / equipment location Required · text Access notes Optional · text Preferred window Checked against availability Routing

If **problem type = no heat / no water / gas smell** and **outside business hours** → mark emergency and warm-transfer to the on-call tech (Twilio); if nobody answers, take a callback number.

   On the tools all day

Everything routes to you. The agent’s job is to make sure that when you look at the phone, the decision is already made — booked, or worth waking up for.

One person on the phones

The transfer goes to tonight’s on-call number: set it on the transfer tool, or pass it from your own on-call system. Your CSR stops fielding “when is he coming” and works the calls that need a person.

Several locations

Concurrency stops being the constraint. Peak-hour overflow is answered rather than queued, and intake stays identical across every call.

09

Buying guide

## How to choose — five questions.
Ask these of us too. The answers should be specific, not reassuring.

01

A message, or a booked job?

This is the only question that changes your morning. Everything else is a detail. Ask to see the job appear on a live schedule during the demo.

02

Does it sound human — and can it hand off to one?

Listen to an unedited recording, not a scripted sample. Then ask what a caller has to say to reach a person, and how fast that happens.

03

Whose team handles the escalations?

Yours, or a shared pool that also answers for a dentist and a law firm? This decides what your brand sounds like on a bad day.

04

How is it priced?

Per minute, per message, per booked job, or per seat? Find out whether wrong numbers and robocalls are billable — in a busy month that is real money.

05

Does it understand more than voice?

Customers text, and they text photos. Ask which channels are supported natively and whether they land on the same customer record.

10

Definitions

## The words vendors use loosely.
Answering service

A service that picks up calls you can’t and passes on what was said. Classically the output is a message.

Call centre (BPO)

A staffed operation answering for many businesses at once, usually billed per minute against a monthly block.

AI answering service

A configured voice agent that holds a natural conversation, captures structured fields, and can act on the result.

Emergency triage

Deciding, against rules you set, whether a call needs someone tonight or a slot on Thursday.

Escalation

Handing a live call or a follow-up to a human, with the context gathered so far attached.

Concurrency

How many calls can be answered at the same moment. The number that decides whether your 7 PM peak rings out.

11

FAQ

## Questions we get on the call.

**What is an answering service for a field service business?**

It is whatever picks up when your team can’t — after hours, during overflow, or on every call. Historically that meant a human operator taking a message. A configured AI answering service captures the same information as structured data and, with FieldCamp connected, turns the call into a request, or with AI Dispatcher connected, a booked job, instead of a note.

**Won’t my customers hate talking to AI?**

What people dislike is a phone menu that traps them. A natural-language agent lets the caller explain the problem in their own words, and hands off to a person the moment the call needs one. Compared with the realistic alternative — voicemail at 11 PM — most callers prefer getting booked.

**How is this different from a call centre?**

Three things: the output (a booked job rather than a message), the ownership (recordings and records stay in your account), and concurrency (simultaneous calls aren’t queued behind one operator). A call centre gives you a human voice on every call, which is a real advantage — it just doesn’t reduce the work waiting for you in the morning.

**Does it handle after-hours emergencies?**

Yes, against rules you define during setup. You decide what counts as an emergency for your trade, who gets woken up, and what happens if they don’t respond. The agent applies that consistently — which is more than can be said for a tired human at 2 AM.

**Who handles the calls the AI can’t?**

Your team. Calls transfer to your CSR or on-call tech, and the recording and transcript are saved when the call ends. We don’t staff a call floor on your behalf.

**How does the cost compare to a call centre?**

The shapes differ more than the headline numbers. Call centres typically bill per minute against a monthly block, so a busy month costs more and overage is where the surprises live. FieldCamp’s answering capability is part of the platform you already run the work on. Compare on a real month of your call volume, not on a rate card.

**Can it understand photos customers send?**

Photos customers text you land on their Inbox thread in FieldCamp, so your team can see the model plate or the leak. A voice call can’t receive photos, and automatic diagnosis from an image is out of scope.

**How many calls can it take at once?**

Concurrent calls are not queued behind a single operator, which is the practical difference during a storm or a cold snap. Exact limits are confirmed for your account during setup — ask us on the call rather than taking a number off a page.

**Is this the same as FieldCamp’s AI receptionist?**

Same underlying capability, different framing. “Answering service” is the category you’re replacing; “AI receptionist” is how the capability is described inside the product. If you’re comparing against a call centre quote, this page is the like-for-like.

**Does the booking sync to my scheduling system?**

With AI Dispatcher connected, yes. It books into FieldCamp, or syncs to Jobber, ServiceTrade, Housecall Pro or FieldEdge, and accepted assignments sync back. Phone, voice AI and dispatch come from one vendor and connect in a few clicks.

**What is CSR overflow answering?**

Backup coverage for the calls your own team cannot pick up — every line engaged, a Monday surge, a weather spike. Your office rings first, and you set your phone system to forward unanswered or busy-line calls to the agent, so your CSRs keep the calls they are best at.

**Can it replace voicemail after hours?**

That is the usual reason shops start. Voicemail ends the call with a message someone has to return; an agent connected to AI Dispatcher ends it with a time on the calendar.
